These terms apply to all schools and groups booking the upstairs kitchen at Gather and Grow. By ticking the box on the booking form, you confirm that you have read and agree to them.
1. Making a booking
- A booking request is not confirmed until we email you to confirm it.
- Sessions are morning (9:30am to 12:00pm) or afternoon (12:30pm to 3:00pm), Monday to Friday.
- Please arrive on time. Sessions must finish at the booked end time so the kitchen can be cleaned and prepared for the next group.
- Please tell us the correct number of pupils and staff. If numbers change, let us know as soon as possible.
2. Turning up for your session
Our kitchen is in high demand, and an empty booked session means another group has missed out. We ask all schools to:
- Attend every session they have booked.
- Contact us as soon as possible if you need to cancel or change a booking, by emailing admin@gatherandgrow.org.uk.
- Give at least 5 working days’ notice if you need to cancel.
- Tell us on the day, as early as possible, if you are running late.
If a school does not turn up without letting us know, or cancels with less than 5 working days’ notice more than once, we may decline future booking requests from that school.
3. Supervision and safeguarding
- School staff must stay with their pupils for the whole session and remain responsible for their supervision and behaviour.
- Please bring enough staff to supervise your group safely, in line with your school’s own ratios and risk assessments.
- Staff must follow any safety instructions given by Gather and Grow staff.
- Schools must follow their own safeguarding policies, and tell us about any safeguarding concerns that arise during a session.
4. Health, safety and hygiene
- Everyone must wash their hands before handling food, and tie back long hair.
- Sensible, closed-toe footwear should be worn in the kitchen.
- Knives, hobs, ovens and other equipment must be used safely and under staff supervision.
- Report any accident, injury, breakage or spillage to a member of Gather and Grow staff straight away.
- In an emergency, follow the instructions of Gather and Grow staff and the fire evacuation procedure.
5. Allergies and medical needs
- Please tell us about any food allergies, intolerances, dietary needs or medical conditions before your session, using the details box on the booking form or by email.
- Schools are responsible for checking ingredients they bring and for managing their pupils’ allergies and medication.
- Our kitchen is used by different groups and we cannot guarantee that it is free from any allergen.
6. Looking after the kitchen
- Please treat the kitchen, equipment and furniture with care.
- Leave the kitchen clean and tidy at the end of your session: wash up, wipe down surfaces and put equipment back where you found it.
- Food and ingredients brought by the school must be taken away or disposed of at the end of the session.
- We may ask the school to cover the cost of any damage caused by its pupils or staff beyond normal wear and tear.
7. Photographs
Schools are responsible for following their own consent arrangements before taking or sharing photographs of pupils. Gather and Grow will not take photographs of visiting pupils without the school’s agreement.
8. Our right to cancel
Occasionally we may need to cancel or move a booking, for example because of staff illness, maintenance or circumstances outside our control. If this happens, we will tell you as soon as possible and offer another date where we can.
9. Changes to these terms
We may update these terms from time to time. The version on this page at the time you make your booking will apply.
